How Helpster works in general

Helpster Program criteria
When you meet a child with medical needs, the first thing you shall do is to seek first to understand if he or she can be accepted for the Helpster program. Below are the main requirements:
  • Treatment must be either life-saving or life-changing
  • The family must pass our Poverty scoring with over 80 points
  • The case should get over 10 points at our Urgency scoring.
  • Costs of one-time treatment should be between 30 USD and 3 000 USD. Preferably below 500 USD.
  • If the cost of the treatment is from 30 to 50 USD, the poverty score must be over 110.
  • Prices for treatment must not be higher than the average in the area.

Parents must be willing to provide all the necessary information about the child and sign the Consent Form to Pass Personal Data and Medical Information to Helps ter Charity.
Life-saving is a case when a life of a child heavily depends on receiving treatment.
Life-saving case / Urgent
Life-changing case
Life-changing is a case when the treatment will significantly change the quality of life of a child (child is in constant discomfort or pain without the treatment)
  • Cases without needed content for Admission (photos, videos, life story, guardian’s contact, consent etc)
  • The cases where the price for the treatment is higher than the average in the region
  • Health problems that are not life-threatening, or that do not significantly affect child’s life-quality.
The lists show examples, yet not all types of cases that fit Helpster.
It is on the doctor to decide if the case is life-threatening or life-changing, and to state in the application why they think so. 
Helpster team can always be contacted to confirm if the case fits.
Examples of cases where treatment is of life-saving importance:
  • Acute malaria
  • Acute Typhoid fever
  • Sepsis
  • Pneumonia
  • Acute appendicitis
  • Intestinal obstruction or perforation
  • Congenital defects
  • Urinary Tract infections/ Kidney or Bladder infections
  • Brain problems like Meningitis or Hydrocephalus
  • Intensive care
Examples of cases where treatment is of life-changing inportance:
  • Severe anaemia
  • Tuberculosis
  • Childbirth complications
  • Malnutrition
  • Hernias
  • Severe hydrocele
  • Complicated tonsillitis
  • Diabetic medications assistance
  • Bone deformities
  • Skin grafting
Urgent cases
When some life-saving cases don’t have time to wait for our approval
  • An urgent case (EMERGENCY) is the one that needs to be treated urgently: from RIGHT NOW to up to 2 weeks
  • An urgent case must comply with Helpster program criteria
  • Verbal approval of a case is needed from a Country Manager, if the treatment cost is higher than 100 USD (within 12 hours)
  • If approved, Helpster obliges to pay the medical expenses post-factum within the monthly budget set up in the MoU
A volunteer or a medical worker must upload the complete information about a child’s case to Helpster within 3 days after getting a verbal approval from a Country Manager.

  • Acute appendicitis
  • Acute Malaria
  • Acute pneumonia
  • Sepsis
  • Critical malnutrition
  • Diabetic ketoacidosis
  • Anaphylactic reaction
  • Sickle cell crisis
  • Intensive care / critical trauma
It usually takes us 2-6 weeks to pay for the emergency cases.
A regular case can wait for treatment from a couple of weeks to a couple of months. For such cases, you submit the application, we approve it, fundraise, and then pay for the treatment.
Transfer to another hospital
If the medical facility is unable to provide adequate treatment for a child, the medical worker should contact Helpster to determine if there are any partner hospitals nearby that can offer the child better assistance.


The responsibility for deciding to transfer the child to a different facility lies on the hospital and/or the child's parents.

Poverty Rating
Poverty assessment helps us make sure all children admitted to Helpster are from the families that have no opportunity to pay for the treatment.

If the answers seem suspicious, and upon checking by a family visit turn out to be falsified - the case will be declined. Fraud notification will be sent to the hospital and volunteer

Poverty rating is made of 9 questions related to the child’s household.
Urgency Ranking — Сollect information from the medical workers
Urgency Ranking helps us make sure that the medical problem of a child is truly life-threatening, or seriously affecting the quality of life of a child. It also help us understand which cases are more urgent, and put them up for fundraising first.

The scoring should be done together with a medical worker, and can be completed by following a link to Google sheets when completing an application in the Admin Panel.

Uploading case to the Admin Panel for admission

Helpster Admin Panel is a website that we use to upload cases to Helpster, get them approved, check on their status, and upload reports.
5. When all information is uploaded, set the case’s status to For Approval.
Hospital must upload a case not later than 3 days after the child’s visit to the doctor.
Approval steps by Helpster
Each case uploaded to Helpster goes through the three-factor revision before being set up for Fundraising.
If our Country Manager finds some mistakes, lack of information or errors, the case status will be changed to Admission corrections needed with included comments of such a decision. You will have to correct and send the case For approval again
Total waiting time for Helpster admission confirmation is from 5 to 10 days.
Total waiting time from the moment of confirmation, to payment is 2-6 weeks.

Ensure fraud protection
A case is considered a fraud-case if:
  • A signature or a fingerprint on a consent does not belong to a legal guardian of a child, or to a child, if they are over 16 years old.
  • The hospital charged both Helpster, and the family of a child.
  • The child’s story is not written based on the information received from the child, or their legal guardian.
  • The invoice has unreasanoble charges, or the treatment procedures are considered not needed.
  • The child does not exist, or the data belongs to some previous patient.
  • The family is not really in need of assistance.
  • The case is paid by Helpster, yet the medical treatment is not provided by the hospital to a child.

  • The cases where the price for the treatment is higher than the average in the region
  • Health problems that are not life-threatening, or that do not significantly affect child’s life-quality.
Ensure fraud protection
With the 3-factor control system of each case, we pay a lot of attention to all of the details of the case, considering medical documents, urgency and poverty rankings.
How we check if the case has fraud-elements:
If anything looks suspicious in the application, we may:

  • The cases where the price for the treatment is higher than the average in the region
  • Health problems that are not life-threatening, or that do not significantly affect child’s life-quality.
  • Conduct a home control visit by our volunteer, to see if the poverty level of the family is close to the reported one, to check if the child indeed has the medical condition reported, or if the treatment has been received.
  • Call the parents to confirm the validity of information
  • Call the doctors and volunteers involved
  • Request prices and treatment plan check-up, or a hospital visit
  • Helpster conducts regular home control visits by volunteers, checking of the medical licenses of our partner hospitals, prices and treatment plan check-ups, and yearly audits of the hospitals that we work with.
If we record 3 cases of the falsified Poverty assessment from the same hospital, we will stop working with that hospital or volunteer.
Ensure protection of children and parents, and their personal data
  • The hospital representative, or a volunteer are obliged to inform the parents and the child on what exactly is Helpster Charity.
  • A consent paper to use the child’s personal data for public fundraising must be explained to the guardians and the child. If the person to sign the consent is illiterate, it must be read out loud to them by a volunteer, or a medical worker registering the case.
  • Helpster obliges to use child’s data for a once-in-a-time fundraising, and must not use it repeatedly for fundraising, or for commercial purposes.
  • The child’s legal guardians have a right to retrieve their data from our data-base.
  • Helpster representatives are directed to inform the parents on whether tha case is admitted or rejected, and update them on the course and outcomes of fundraising.
  • If the case is approved and confirmed, the treatment of a child is fully covered by Helpster.

  • Health problems that are not life-threatening, or that do not significantly affect child’s life-quality.
Rejected cases
Why we might reject a case:
  • The application is not completed, and the missing information has not been fulfilled in over a month.
  • The Poverty score is below 80.
  • The Urgency score is below 10.
  • The treatment price is below 50 USD, and the Poverty score is below 110.
  • The disease is not life-threatening or of significant discomfort, and does not impact the quality of life.
  • The case has been checked and confirmed to be a fraud-case.
  • The price for treatment requested by a hospital is above the average price for the same procedures in the region.
  • The family has been visited by our volunteer, and the medical problem reported in the application is not present in a child.
  • The family has been visited by our volunteer, and the family is not aware of Helpster’s involvement in the treatment.
  • The family has been visited by our volunteer, and the family’s poverty level is far not the same as reported in the Poverty questionaire.
  • Cases without needed content for Admission (photos, videos, life story, guardian’s contact, consent etc)
  • The cases where the price for the treatment is higher than the average in the region
  • Health problems that are not life-threatening, or that do not significantly affect child’s life-quality.
Stopping collaboration
Why we might stop working with a hospital or a volunteer if:
  • We encounter several cases of falsified Poverty assessments, Consent paper signatures, or any other data involved in the application coming from the same hospital or volunteer.
  • The hospital repeatedly prescribes to the patients the unnecessary procedures, in order to increase the final treatment price.
  • The hospital repeatedly charges above-the-average prices for supplies and procedures, in order to increase the final treatment price.
  • We receive several fraud cases from the same hospital ot volunteer within six months.
  • The hospital or volunteer do not upload reports after the cases are paid for by Helpster.

  • The cases where the price for the treatment is higher than the average in the region
  • Health problems that are not life-threatening, or that do not significantly affect child’s life-quality.
